Exams, academic years, students and timetables each move through a defined set of states. The rules are enforced in software, not written in a policy nobody reads.
An exam in grading accepts marks. Once published, results are visible to parents and the grade sheet locks — reopening it is a deliberate act recorded against a named user. Cancelled is a seventh state, reachable only before results exist.
You cannot take attendance against a year that has closed, or enrol into one that was archived.
Only an active student can be marked present, billed or graded — so a graduated record cannot quietly pick up a fee.
Exactly one timetable is active per campus, guaranteed by the database — not by everyone remembering to archive the old one.
